Boulo Solutions is partnering with a Birmingham, AL based nonprofit looking to hire a Finance and Administrative Director to join their team. A successful candidate will excel in accounting and also enjoy handling administrative tasks needed to manage and maintain the office. Hours: Full time, 9-5pm (1 day can be remote either Tues/Wed/TH after 90-day probationary period)
Salary: salaried position to be discussed in interview

Responsibilities 
 
Finance:
Accounts Payable

    • Manage vendors, ACH and W9's as needed
    • Pay invoices approved by Executive Director
      • Create checks in Quickbooks
      • Issue positive pay approvals in iTreasury
      • Process and record payments in FSD
      • Process and record EFT and ACH payments in Quickbooks
    • Issue 1099s in January

Accounts Receivable

    • Process check payments to nonprofit and facilitate ACH, EFT and wire payments to nonprofit
      • Create deposit entries in QB
      • Make copies of checks, deposit records, funding agreements, etc. associated with payment
      • Scan documents to nonprofit folders
      • Bank deposits
      • Record restricted income in cash balance ledgers

Bank Account Management

    • Manage multiple bank accounts
    • Manage credit card donations and process online donations
      • Maintain access to all accounts
      • Monthly debits, credits, and journal entries for all accounts in Quickbooks
      • Download monthly statements and add to folder
      • Reconciliations for all accounts
      • Monitor Ceterra account for donations
      • Work with Executive Committee on approvals for investments and transactions
      • Complete annual compliance certification to process credit cards online
      • Prepare requests for funds in accordance with funding agreements and file accordingly 

Reporting

    • Maintain income and expense records, check against monthly statement
      • Enter data to monthly income and expense report
      • Enter data to monthly Cash Balance report
        • Update restricted funding ledgers
        • Update reserve and endowment calculations as needed
    • Report to Board Treasurer and Executive Director

Payroll & Benefits

    • Employee onboarding and offboarding
      • Process I-9 and E-Verify
      • Maintain E-verify User Certification
      • Add/remove employees to insurance and simple IRA program
    • Biweekly Payroll
      • Maintain timesheets and PTO usage reports
      • Create checks in payroll portal with updated PTO, withholding, and submit to payroll contractor
      • Review final payroll
      • Save bi-weekly payroll to binders
      • Create journal entry in QB for payroll
      • Review quarterly 941s for accuracy and federal deposits
    • Manage SIMPLE IRA
      • Keep track of Raymond James accounts and employee contributions in binders

Insurance Policies

    • Keep policies up to date and pay invoices

Annual Accounting

    • Upload all annual banking and grant data to CPA firm
    • Work with CPA firm on all needs
  • Keep Government and Financial Registrations up to date
  • Annual Operating Budget
    • Prepare draft budget from individual staff budgets and operating expenses
    • Discuss and refine budget at Executive Committee budget retreat
    • Finalize budget and present to board for approval
    • Manage expenses to maintain adherance to budget
  • Lease Management
  • Annual Property Dues
  • Handle Project Budgets
  • Additional Accreditation Requirements

Administrative 

  • ?Administrative Duties as needed:
    • Arranging board and committee meetings and other office meetings
    • Taking first draft of minutes for quarterly board meetings
    • Assisting Executive Director with scheduling and deadlines
    • Managing/ordering office supplies and other office management tasks as needed
    • Checking mail and taking care of invoices as needed
    • Assisting with mass promotional mailings
    • Creating folders or binders as needed for different proposals
    • Other duties upon request
