Hours: 7:30-4 or 8-4:30
Flexibility: Remote work available one day a week after learning the role.
Salary: $80-85k
Benefits: 90% paid single coverage and 20% secondary, 16 paid holidays and 15 days PTO, 100% 401k match to 3% and then 50% of the 4 and 5%.
MANAGEMENT
- Act as a critical member of the management team for the nonprofit, providing not just quantitative reporting, but also qualitative analytical advice, guidance, and policy recommendations to Executive Director and the Board of Directors.
- Responsible for entire accounting, financial reporting and insurance billing functions of the non profit.
- Act as primary liaison between staff and Finance Committee of the board of directors. Schedule, prepare agendas, and prepare reports for finance committee meetings.
- Manage 5-7 staff members in the billing department and ensure all processes are documented. Work with the Billing Director to learn each position.
- Provide analytical guidance regarding which activities of the organization are most and least financially sustainable.
- Control and review organization’s use of Accounting, Billing, Donor Relations, and other administrative software systems. Constantly evaluate the effectiveness of these and look for better systems where available
MANAGE CASH FLOW
- Monitor and project weekly cash flow and alert management/ BOD of any issues
- Supervise staff who handle recording cash receipts, entering accounts payable, reconciling Advancement and Central Reach cash receipts to Quickbooks monthly, and performing bank reconciliations
ACCOUNTS PAYABLE
- Review and pay all AP invoices timely (including rent) and ensure supporting invoices are maintained
- Monitor and understand nuances with all vendors and billing for nonprofit.
- Manage positive pay (ACH and checks)
- Periodically monitor the allocation of some bills (some are allocated to 5 departments)
- Reconcile all balance sheet accounts monthly
- Oversee sales tax exemption processes (annual forms to vendors and every 4 years reporting)
- Remit sales tax annually on store sales
- Engage in selecting vendors and assess ongoing contracts
CREDIT CARD
- Manage the Ramp credit card system and its users
- Download Ramp statements to Excel and reconcile to Quickbooks monthly
PAYROLL
- Review and approve payroll every two weeks to make sure it is approved appropriately by staff and that the hours for each person look correct.
- Using reports from the payroll company, record payroll in QuickBooks Online.
- Make sure allocations for departments are distributed correctly and that payroll balances.
MONTH END DUTIES
- Record monthly revenue by class in QuickBooks using Central Reach reports from the Billing Director and ultimately learn to run these reports yourself
- Work with Billing Director to reconcile A/R reports in Central Reach to QuickBooks; prepare A/R aging reports for quarterly BOD meetings.
- Ensure all income statement accounts are assigned the correct class in QuickBooks.
- Oversee staff who works with advancement department to reconcile their activity in Bloomerang with QuickBooks to ensure all donations are categorized correctly
- Ensure petty cash is reconciled by staff monthly.
- Record activity from securities statements into QuickBooks
- Assess patient credit balances and issue refunds as needed.
- Prepare and distribute 1) internal monthly financial statements, including comparison to budget by class, and 2) summarized reports for Finance Committee
- Assess proper revenue recognition or deferral for all grants & contributions based on time and use restrictions and conditions. Oversee tracking of grants funds spent.
YEAR END DUTIES
- Accrue payroll and all necessary expenses.
- Set up all prepaid expenses.
- Compile a list of payments to vendors subject to Form 1099 reporting and submit to the payroll company to prepare.
- Ensure fixed asset additions and disposals are recorded: provide details to CPA firm & record their journal entries.
- Execute annual budget process by setting timelines, compiling data by program with Department Heads, analyzing results and ultimately obtaining Finance Committee approval
OTHER DUTIES
- Work with auditors annually to provide needed documentation and answer any questions. Review reports and footnotes for accuracy.
- Review annual tax return Form 990 as prepared by CPA firm before filing
- Oversee budgeting and purchasing for general office supplies, equipment, and other building-related service expenses.
- Supervise and oversee all employee benefits programs, including health insurance plans, 401k, etc.
- Interface with PEO, evaluate continued effectiveness of this arrangement.
REQUIREMENTS:
- Bachelor’s or master’s degree in accounting or revelant work experience in healthcare accounting.
- Proficient in QuickBooks
- Extensive knowledge of Generally Accepted Accounting Principles
- 3-5 years Full Charge Bookkeeping or Staff Accountant experience
- 2 + years’ experience with BCBS Insurance Billing such as in a medical office
- Proficiency in Microsoft Excel (heavy spreadsheet activity) and Office 365
- Technologically savvy
- Ability to prioritize and multi-task in a fast-paced work environment.
- Highly organized, self-sufficient and detail oriented
- Able to complete tasks accurately and timely with minimal supervision.
