Boulo Solutions is partnering with an established Birmingham based firm looking to hire an Executive Personal Assistant to work closely with their CEO on a variety of duties.

Salary: $50-55k

Benefits: 100% Company paid healthcare, vision, dental, PTO and 401k for Employee.

Schedule: Hybrid, Flexibility to work from home when the CEO is not in the office which is often.

Key Responsibilities

Administrative Support

  • Manage and optimize the CEO’s calendar by scheduling meetings, appointments, and events while prioritizing and resolving scheduling conflicts.
  • Organize travel arrangements, including flights, accommodations, and itineraries.
  • Act as a gatekeeper for the CEO’s email, filtering, responding to, and escalating messages as needed.
  • Prepare meeting agendas, take notes during meetings, and ensure follow-up on action items.

Communication and Coordination

  • Serve as the primary liaison between the CEO and internal/external stakeholders, maintaining professionalism and confidentiality.
  • Collaborate regularly with the leadership team to coordinate schedules, share updates, and track progress on key initiatives.
  • Track deadlines and progress on multiple initiatives to ensure timely completion.
  • Draft and proofread correspondence, presentations, and reports.
  • Conduct research and compile information for the CEO’s civic and business engagements.

Project Management

  • Assist in managing projects related to the company’s real estate philanthropic efforts.
  • Conduct research and compile information for the CEO’s civic and business engagements.

Personal Duties

  •  Facilitate house maintenance projects as needed
  • Buy gifts and send cards as requested
  • Run errands and mail packages as needed
  • Make various reservations as requested
  • Other tasks as asked to do by the CEO

Other Duties

  • Maintain an organized system for the CEO’s files, contacts, and key information.
  • Stay informed about local developments in Birmingham, AL, that may impact business or civic engagements.

Qualifications

Experience: Minimum of three years in an executive or administrative assistant role, preferably supporting a senior executive. Experience  or interest in real estate, philanthropy, or civic organizations is a plus.

Skills:

  • Exceptional organizational and time-management skills.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite, and Outlook

  • Ability to adapt to changing priorities and manage multiple tasks efficiently.
  • Self-starter with a resourceful mindset.
  • A calm and practical problem-solver, especially under pressure.
  • Be available at various times of the day and occasional nights to facilitate tasks
