Office Manager – Securities & Retirement Plan Focus

Location: Homewood, AL
Job Type: Full-Time (with flexibility)
Pay Range: $45,000 – $55,000 annually


About the Role

We are seeking an experienced and proactive Office Manager to join our team in Homewood. This position supports the day-to-day operations of our financial services office, working closely with a Client Advisor and support staff. A background in securities or retirement plans is strongly preferred.

The ideal candidate is highly organized, tech-savvy, and customer-service oriented, with a keen attention to detail and the ability to manage multiple responsibilities in a professional, fast-paced environment.


Key Responsibilities

  • Provide daily administrative and operational support to the Client Advisor and team

  • Act as the first point of contact for Plan Sponsors and participants—responding to phone calls and emails professionally and promptly

  • Assist with plan reporting, troubleshooting inquiries, and directing clients appropriately

  • Maintain accurate corporate records while ensuring compliance with Back Office regulations

  • Create and distribute internal and client-facing materials including employee presentations/videos, PowerPoint decks, and monthly newsletters

  • Manage office and building inventory, including ordering supplies

  • Coordinate travel arrangements, and handle both corporate and personal scheduling

  • Light bookkeeping duties; experience with QuickBooks is a plus

  • Support retirement plan processes (contributions, 5500 filings, Cash Balance plans, payroll coordination)


Requirements

  • Prior experience in office management or business operations

  • Strong organizational and problem-solving skills with a proactive mindset

  • Excellent communication skills and ability to handle confidential information with discretion

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint), Adobe, and Outlook

  • Experience with RPAG and Camtasia is a bonus

  • Knowledge of retirement plan services and compliance is strongly preferred

  • Must complete onboarding with Broker Dealer, including background check and fingerprinting


Preferred Experience

  • Background in retirement planning, securities, or financial services

  • QuickBooks proficiency

  • Familiarity with ERISA guidelines and/or retirement plan compliance
