Office Manager – Securities & Retirement Plan Focus
Location: Homewood, AL
Job Type: Full-Time (with flexibility)
Pay Range: $45,000 – $55,000 annually
About the Role
We are seeking an experienced and proactive Office Manager to join our team in Homewood. This position supports the day-to-day operations of our financial services office, working closely with a Client Advisor and support staff. A background in securities or retirement plans is strongly preferred.
The ideal candidate is highly organized, tech-savvy, and customer-service oriented, with a keen attention to detail and the ability to manage multiple responsibilities in a professional, fast-paced environment.
Key Responsibilities

Provide daily administrative and operational support to the Client Advisor and team

Act as the first point of contact for Plan Sponsors and participants—responding to phone calls and emails professionally and promptly

Assist with plan reporting, troubleshooting inquiries, and directing clients appropriately

Maintain accurate corporate records while ensuring compliance with Back Office regulations

Create and distribute internal and client-facing materials including employee presentations/videos, PowerPoint decks, and monthly newsletters

Manage office and building inventory, including ordering supplies

Coordinate travel arrangements, and handle both corporate and personal scheduling

Light bookkeeping duties; experience with QuickBooks is a plus

Support retirement plan processes (contributions, 5500 filings, Cash Balance plans, payroll coordination)
Requirements

Prior experience in office management or business operations

Strong organizational and problem-solving skills with a proactive mindset

Excellent communication skills and ability to handle confidential information with discretion

Proficient in Microsoft Office Suite (Word, Excel, PowerPoint), Adobe, and Outlook

Experience with RPAG and Camtasia is a bonus

Knowledge of retirement plan services and compliance is strongly preferred

Must complete onboarding with Broker Dealer, including background check and fingerprinting
